Hi

We count the number of adults and children at an event and keep a record of both. I could rename the rededications field (under headcounts) 'children' but it would be good to keep this as it is. Is there a way of being able to add an extra field in the headcounts section that says 'children'?

Hi Justyn,

How do you use the adult and children attendance count data? Do you report it just once or do you do searches on the data? For example, are you searching for all events where the attendance was greater than 50?

We really are just using it as the most appropriate place for storing our attendance, and healing figures. I would want to create reports on those stats down the line which I don't think is currently possible? The main thing would to be able to export the figures so that we can do lots of fun things in excel - charts etc.. It's always great for a system to be able to do this for you, but excel can give more bespoke options.

Hope you can advise on the best thing to do.

Hi Justyn,

If you are just retrieving data in an export, here is an easy way to do it. In the attendance head count field enter adults and children this way:

adult headcount space comma children headcount

So an example would be "39, 18".

Then when you export the data to Excel, select the "attendance_count" column, go to Data, Text to Columns, select Delimited in Step 1, in Step 2 make sure that the comma checkbox is activated. Finally, in step 3 select a Destination cell (It defaults to the current cell). Hit Finish. This will split the one "attendance_count" column into two columns, one for adults and the other for children.

That's a very helpful work around. It appears that the 'count' fields is limited to 5 characters so to do the suggestion would take at least 6 characters at current size and then 7 when we break the 100 barrier. Is this something that you would want to change in the system?

Concerning the export of the data, am I able to carry out an export of the data at that level of detail? At the moment I can only see export being an option for the event type and not for the events within that type. Please let me know if I've missed something.

Justyn, I apologize. Upon closer look, I realized that the head count fields are number fields which would not accomodate punctuation, only numbers. So my work-around would not work.

How about renaming the "Healings" head count field to Children?

Otherwise, I would have to add another field there. Before doing that, I'd like to know if there are other churches who keep children counts separate from the adults.

To export the data that you'd need, in the events module do an advanced search where "attendance" "is greater than or equal to" "1". Then in the search result, click on the export link. Choose CSV format.

Thanks for getting back so quickly. Not a problem about the comma! I'd rather not rename the healings are we are starting to see a them on Sundays - 2 last Sunday Praise God!

I could rename the rededications, but this would be the last option I think. If you able to find out if other users would find children numbers helpful I would be most grateful. I wouldn't expect a change unless it was beneficial to others.

Concerning the export thanks for the info. I had looked at that, and I don't know if it is a just a thing on my mac, but the drop down list in the number fields only has one listed - Event No. There appear to be some blank lines underneath that, but nothing that is readable. I've tried on Safari 4 beta and Firefox 3.0.10. I'm assuming that is where I would find the attendance field?

Yes, I confirm that the drop down options for number fields in the advanced search form are blank. It's a bug which is fixed in the upcoming version of Ascribe (which I had thought to install earlier last month but may not occur until later this month).
